The problem

A medium-sized financial service provider needed ad hoc a suitable sub-project management and the known service providers were not available

A medium-sized financial service provider with a limited project budget and high time pressure was looking for a new sub-project manager at short notice. Furthermore, the slow, internal purchasing processes were to be avoided in order to enable a quick assignment.

The solution

The solution was a digital procurement channel for consulting service providers in which consulting requirements were proactively reported and services were invoiced centrally and comprehensibly in the sense of a 1-creditor model

The company opted for a digital platform that offers free consulting capacity. Framework agreements with standardized daily rates and hierarchical levels from established consulting firms were used, which enabled an efficient call up of free consulting capacities, while at the same time the project managers could report their consulting needs independently. All this in terms of a 1-creditor model.

Before

  • high expenditure of time in identifying suitable and available consulting service providers
  • high costs and non-transparent daily rates for the tendering process, especially for small and short-term consultancy requirements
  • Increased quality and ANÜ risk when hiring freelancers

Afterwards

  • Availability of consulting services from as little as one person day: It makes no difference whether this is short-term workshop support, a specialist impulse or concrete project support.
  • Financial transparency when calling up and providing brokered consulting services: The framework agreements result in price advantages that are passed on directly to our customers.
  • The consulting service providers stand for excellent consulting - and can document this promise with awards and references. This also eliminates increased qualitative or labour law risks that arise from freelance assignments.

Insights

What had the customer tried before?

In the past, classic personnel service providers or freelancer portals have already been tried out. However, the complexity of control and the ANÜ risk with freelancer assignments increased steadily. In addition, there were constant sales calls and contractual constraints to carry out follow-up orders with certain platforms.

In addition, individual framework agreements were concluded with various consulting firms. This led to high administrative expenses that were not rewarded because the agreed prices were often not attractive due to the poorer negotiating position and availability was not guaranteed.

Additional challenges at the customer

  • The purchasing department repeatedly offered only the same service providers for tenders to the user departments that reported requirements
  • Comparability between different consultant profiles and hierarchical levels was often not possible - or very difficult to achieve
  • Different performance records with different contractual arrangements with different service providers made the process of invoice verification and payment complex and error-prone

What criteria were important to him?

  • The external personnel should be guaranteed to be available, personally and professionally suited to the project (-team) and the costs should be predictable.
  • It should also be easy to report project needs and compare offers.
